Temporary Events & Excursions Manager required for Summer course 2023 (5 July – 23 August 2023 or part thereof):

The Events & Excursions Manager is likely to work 42 hours per week. Core duties will include, but are not limited to:

  • Put together the evening entertainment schedule for the period of the summer course, working closely with the pastoral team to ensure events are staffed appropriately.
  • Act as compère, ensuring events are well attended, engaging and that students have the best possible time (while maintaining the behavioural standards expected of students on the summer course)
  • Deal with any student behavioural issues appropriately, calling in support from the relevant staff if required.
  • Ensure all events are suitably planned/costed/risk assessed.
  • Ensure JCR events are publicised, and that students and staff understand what is expected of them.
  • Ensure all spend is approved and signed off by the Director of Short Courses before it has been committed.
  • Ensure the smooth and safe running of all excursions by;
    • Attending all excursions/trips
    • Ensuring all excursions are suitably risk assessed and that staff and students understand what is expected of them at all times
    • Deal with or report issues appropriately
    • Co-ordinate schedules with coach company/catering team/house staff/venues as appropriate
    • Ensure that packed lunches have been provided and issued
    • Liaise with Matron to ensure travel buckets and medication have been factored in for all trips.
    • Delegate authority and ensure that support staff who attend trips are behaving appropriately
    • Be responsible for all registers

Temporary Sports Co-ordinator required for Summer course 2023 (5 July – 23 August 2023 or part thereof):

The Sports Co-ordinator is likely to work on a shift pattern of 37.5 hours per week. Core duties will include, but are not limited to:

  • Arrange the lunch time supervision and gate duty, which might include taking ownership and covering the responsibilities directly.
  • Periodically patrol Sherborne at lunch times, to ensure student behaviour is in line with expectations.
  • Co-ordinate the searches for students who might be late back from lunch/missing from afternoon lessons.
  • Take a lead role in organising the daily sporting activities

Temporary Non-Residential Tutor required for Summer course 2023 (5 July – 23 August 2023 or part thereof):

Pastoral staff work on a rota system and are on duty for 37 hours per week. Core duties will include, but are not limited to:

• Supervising students in breaks and at mealtimes; organisation and supervision of sports and activities; supporting the routines and activities in the assigned boarding house; and supporting JCR organised events.
• Provide a high level of supervision and care of students at all times.
• Interact with a variety of students, engaging in friendly conversation and encouraging them to use English, motivate students to participate and get involved in activities.
• Look out for, comfort and inform residential tutors about students who may feel homesick, sad or unwell, or who face other problems or difficulties
• With residential tutors, help and support students’ understanding of instructions, routines and behavioural expectations during sports and activities, during break and mealtimes on campus and in the dining room, on excursions and in the boarding houses.
• Undertake dining room duties and sit with students during mealtimes.
• Lead, and support other staff, with sports and recreational activities.
• Supervise students during instructed sports activities, ensuring they understand and follow directions given by instructors.
• Help prepare for and tidy up after student sports and activities and look after any equipment involved.
• Supervise groups of students on excursions.
• Provide supervision duty around the campus and patrols in town.
• Support the residential tutors as directed to ensure the boarding houses run smoothly, including actively helping organise and participate in evening activities and events.
• Support residential tutors in evening house routines, including supervising homework, sports lists, and bedtime and lights out.
• Assist residential tutors on arrival and departure days in greeting and orienting arriving students and assisting departing students.
• Assist with special events, such as Knockout.
• Ensure you and the students comply with any COVID-19 related protocols that might be in place and inform the appropriate staff of any breaches to guidelines.

Temporary Residential Tutor required for Summer course 2023 (5 July – 23 August 2023 or part thereof):

In your capacity as a Residential Tutor you are likely to be on duty for 48 hours per week. Core duties will include, but are not limited to:

• lives in a boarding house with the students, and is responsible for their safety, supervision and general welfare; taking regular attendance and attending regular house meetings.
• will provide a high standard of care and supervision in the boarding house and maintain a good working relationship with the team of house staff (Senior Tutor, Residential Tutors and Domestic Staff) in the efficient organisation and running of the house.
• sets a high standard of behaviour, dress and punctuality at all times.
• follows the instructions of the Senior Tutor to ensure the efficient running of the boarding house.
• supports the house staff to ensure the boarding house is prepared ready for the arrival of students at the start of the courses, that a full check has been completed with a comprehensively recorded detail of the condition of all rooms and areas of the house at the start of the courses.
• ensures that incident and accident reports are completed and appropriately filed, that house logs, sign out lists, evacuation reports, registration lists etc are maintained and up to date.
• must be residential in the house every evening, except on their day off and supports the arrangements at bedtime and waking up time for students.
• supports the writing of end of course house reports for the students in their care.
• may be required to liaise with parents by phone, to respond to questions raised by parents.
• may call in Matron at any time outside surgery hours for any urgent medical problem, which a student may have.
• supports the pastoral care and student discipline in the boarding house, ensuring that any serious incident or breach of discipline by a student is reported to the Senior Tutor.
• should liaise with the domestic team, to ensure that any damages are reported and dealt with, any repairs effected, and that the house and rooms are maintained, clean and tidy and in good working order.
• ensures that any relevant COVID-19 guidance is adhered to and manages and reports any breaches appropriately.

• is responsible for ensuring the house is prepared, ready for the arrival of students at the start of the courses, that a full check has been completed with a comprehensively recorded detail of the condition of all rooms and areas of the house at the start of the courses
• ensures that incident and accident reports are completed and appropriately filed , that house logs, sign out lists, evacuation reports, registration lists etc are maintained and up to date.
• delegates duties in the boarding house to other tutors.
• must be in the house every evening, except on their day off and is responsible for the arrangements at bedtime and waking up time for students.
• is responsible, with the tutors, for the writing of end of course house reports for the students in their care.

• is responsible for ensuring all rooms are checked for damages against the condition at the start of the courses and for ensuring that the house is handed back at the end of the courses in excellent order, to the minimum of the standard at the start of the courses.
• ensures that any relevant COVID-19 guidance is adhered to, and any breaches are reported or resolved appropriately.

Temporary Summer Matron required for Summer course 2023 (5 July – 23 August 2023 or part thereof):

Typically the Summer Matron may work 48 hours per week as part of a 7-day rota.. Core duties will include, but are not limited to:

• Keep the set surgery hours daily, and ensure staff and students know you will be in the surgery at those times to deal with ailments.
• Be contactable and on campus at required times according to the job description.
• Check, and restock as necessary, the medical boxes, including the provision of appropriate medications in boarding house at night for use by house staff, and oversee the correct reporting by house staff of any medications administered by them overnight.
• Oversee and store all medications securely, including any kept in the boarding houses.
• Check the medical declarations of students attending the courses and notify staff as appropriate of any medical conditions or allergies.
• Ensure that student’s hand in medicines, and administer medication, in accordance with school guidelines.
• Maintain appropriate health records as required and a log of all visits to surgeries and any medical interventions.
• Be aware of, and act upon, any homesickness, loneliness, withdrawn or unusual behaviour and inform the relevant houseparent and the course leader.
• Notify appropriate staff and the course leader on medical conditions of students, accidents and injuries and actions being taken including ongoing treatment.
• Communicate appropriately with parents as and when necessary, including updating on medical conditions, accidents and injuries, actions being taken, ongoing treatment, visiting the doctor or A&E or spending time in hospital.
• Supervise and care for ill students and give daily progress reports to staff and the course leader as appropriate.
• Arrange and escort students to hospital, doctor and dentist appointments.
• Collect prescriptions, if appropriate, and store medicines safely.
• Be accessible and take an interest in the lives of the students, but not to be intrusive or force their confidences.
• Be available for discussion with students and emphasise that they can speak privately to you or a doctor, or other person, by arrangement if they wish.
• Oversee the general health, well-being and hygiene of all course students.
• Alert the Director of Short Courses to any gaps in process that could put the students’ health at risk.
• Support any COVID-19 protocols and report any breaches to the Pastoral Lead
